Job Summary: The Purchase Executive is responsible for procuring goods and services required for the organization's operations while ensuring cost-effectiveness, quality, and timely delivery. This role involves negotiating with suppliers, maintaining vendor relationships, and managing procurement processes.
Key Responsibilities:
Supplier Management:
- Identify, evaluate, and select suppliers based on quality, cost, reliability, and other criteria.
- Negotiate terms and conditions with suppliers to secure advantageous agreements.
- Maintain strong relationships with suppliers and address any issues or concerns promptly.
Purchase Planning:
- Collaborate with various departments to determine procurement needs.
- Develop and implement procurement strategies to meet organizational goals.
- Forecast demand and ensure stock levels are maintained to prevent shortages or excess inventory.
Purchase Order Processing:
- Prepare purchase orders and ensure accuracy in item descriptions, quantities, and pricing.
- Track and manage open purchase orders to ensure on-time delivery.
- Review and approve purchase requisitions from various departments.
Cost Analysis and Negotiation:
- Analyze pricing and cost structures to identify cost-saving opportunities.
- Negotiate favorable terms and conditions with suppliers to achieve cost reduction goals.
- Monitor market trends and pricing to make informed procurement decisions.
Quality Control:
- Work with quality assurance teams to ensure purchased products meet quality standards.
- Address and resolve quality issues with suppliers promptly.
Compliance and Documentation:
- Ensure compliance with company policies and relevant regulations in the procurement process.
- Maintain accurate and up-to-date procurement records and documentation.
Inventory Management:
- Monitor and control inventory levels to minimize carrying costs.
- Implement inventory optimization techniques to improve efficiency.
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- Proven experience in procurement or a similar role.
- Strong negotiation and communication skills.
- Knowledge of procurement best practices and supply chain management.
- Proficiency in using procurement software and tools.
- Attention to detail and organizational skills.
- Ability to work independently and as part of a team.
